Nothing is more frustrating to potential renters than to get a list of 50 properties, make 50 (long distance) phone calls, and find that few (if any) properties are actually available. Therefore, in order to establish this website as the preferred rental locator for local employers using the services of First Choice in Michigan's Great Southwest, it is critical that you as property managers commit to keeping your postings accurate and up-to-date. The system has been set up to allow loading of all your properties, regardless of their current availability as a management tool for you. As such, we emphasize the need for accuracy of your property's Active/Inactive Status indicator and the Availability Date.
Active Status: This status should be used for properties that are 1) currently vacant or 2) occupied but will becoming vacant within three months (note this change from 6 months, Justin) from the date of posting. The properties would then appear in the search results for rental seekers and you could expect inquiries.
Inactive Status: This status should be used when loading properties that are 1) currently occupied and 2) will not becoming vacant within three months. Used in conjunction with the Availability Date, the system will generate an email message to you 30-days prior to the anticipated availability date to prompt you to update the status and/or availability date, as appropriate.
Availability Date: Accuracy of this date is critical. Lack of proper maintenance of this information may be grounds for purging of property and/or posting rights. The system includes properties with Active Status and Availability within 3 months forward/back of the current date.
System Reviews: In order to assure renter customer satisfaction, automated system review of active property status and availability dates has been programmed as follows:
- Apartment Complex: Multi-building apartment complexes in the area are strongly encouraged to follow the above guidelines. It is recommended that one property record be created for each floor-plan type (Studio, 1 Bdrm, 2 Bdrm, etc.). Then, as you have any units available for that type, update the Status/Availability Dates. We will prompt you with an email message every 30 days. Renter complaints regarding inavailability may result in purging of data.
- Multi-Family Apartment House: By definition, these are usually single family homes that have been converted to 2 or more unit apartments or quad-plexes. Historically, these rent fairly quickly and as such, the posting period will 14 days, at which time the system will prompt you with an email asking you to update status and availability. Renter complaints regarding inavailability may result in purging of data.
- Duplex: These are typically quick turnover, and as such, will receive an email prompt after 14 days to update the status and availability date of the property. Renter complaints regarding inavailability may result in purging of data.
- Single Family Home: Historically this property type may take a little longer to rent, especially at higher price points. As such, the posting period will require an update to status and availability date every 30 days and will be prompted by email. Renter complaints regarding inavailability may result in purging of data.
- Townhouse/Condo: Historically this property type may take a little longer to rent, especially at higher price points. As such, the posting period will require an update to status and availability date every 30 days and will be prompted by email. Renter complaints regarding inavailability may result in purging of data.
- SEASONAL LEASE TERMS: All property types set to this lease type will be allowed a static posting. We encourage property owners to thoroughly detail their rates, lease options, and availability in the comments or lease areas of the posting.
These policies and timeframes will be reviewed on a periodic basis and are subject to change. Property Owners will be notified by email prior to inactivation or purging of any property records.
